Most CRMs hand you a blank workspace and an empty docs site. Inflowave ships with a free template + workflow marketplace, custom workflows our team builds for paying agencies, and white-glove onboarding so you do not have to figure out the platform alone. Here is what is included and what costs extra.

The "blank workspace" problem

Most agency CRMs onboard you with a webinar, a docs site, and a blank workspace. The first month, your team spends 40 hours figuring out where buttons live, what tag structure to use, which workflows to build, and how to wire all the integrations. By the time you have something working, two clients have already missed a follow-up because their VA was still learning the inbox.

Inflowave was built around the assumption that paying agencies should be live with the basics within 7 days, not 30. We do that with three layers.

Layer 1: a free workflow + template marketplace

Every Inflowave plan, including the trial, has access to a free marketplace of pre-built workflows, message templates, AI agent personas, pipeline structures, and reporting dashboards. Each marketplace asset has been tested across multiple agencies and ships with the configuration baked in — no copying-and-pasting from a Notion doc.

Marketplace assets install with one click. They are free. We update them quarterly based on what is winning across the customer base.

Layer 2: custom workflows we build for you (paid)

If you want a workflow that does not exist in the marketplace — say, a custom 7-step appointment-recovery flow that pings a Twilio voicemail drop after 3 missed calls and triggers a Calendly auto-reschedule — we build it for you. Pricing is based on workflow complexity (typically $500-$2,500 one-time per custom workflow) and the build is done by our solutions engineering team within 5-7 business days.

Custom workflows include:

  • Initial scoping call with our solutions engineer (free)
  • Visual workflow design + walk-through with your team
  • Build + integration tests against your live workspace
  • Knowledge transfer so your team can edit later
  • Free 30-day post-launch tuning if metrics underperform

Most agencies running serious volume buy 1-3 custom workflows in the first 90 days, then maintain them in-house from there. After the third one, your team has usually internalised the patterns and can build the rest themselves.

Layer 3: white-glove setup at no extra cost

Every paying agency on Pro and Ultra plans gets a free onboarding sprint. The sprint runs as 2-3 working sessions over the first 2 weeks and covers:

The sprint is led by your CSM, with a solutions engineer attending the technical sessions. There is no extra fee — it is included in the plan price for any agency on Pro or Ultra.

Why we ship templates instead of "best-practice docs"

Other CRMs hand you a 50-page best-practice PDF. We hand you working configs. The reason: docs are a translation layer between someone else's success and your team executing. Translation layers leak. Templates skip the translation entirely.

A template that has run across 200 agencies and converts at 4.2% DM-to-call beats a docs page that says "consider using a 3-step funnel." The template embodies what the docs are trying to describe. You can edit it; you cannot edit a docs page into your workspace.

Where the limits are

We are honest about what is and is not in scope:

  • We do NOT do free 100-step custom workflows for $50/mo customers — economics do not work
  • We do NOT do client-facing white-label custom builds (talk to us about Enterprise if that is what you need)
  • We do NOT migrate from spreadsheets in our white-glove sprint (we will help on a paid project basis)
  • We do NOT build integrations to internal client tools (we connect to public APIs only — Zapier/Make for the rest)

Are marketplace templates really free, even on the trial?

Yes. Every marketplace asset (workflows, templates, dashboards, AI personas) is free across every plan including the 7-day trial. We do not gate quality content behind paid tiers.

How much do custom workflows cost?

$500 for simple ones (3-5 steps, one trigger), $1,000-$2,500 for complex ones (multi-channel, branching logic, integrations). Scoping call is free; you only pay when you sign off on the build estimate.

Can my team edit a custom workflow after you build it?

Yes. Every custom workflow ships with knowledge transfer + a comments layer so your team can edit, branch, or delete steps. We also give you a 30-day post-launch tuning window for free if metrics underperform.

Is the white-glove sprint really included on Pro?

Yes. Pro and Ultra plans include the 2-week onboarding sprint at no extra charge. Basic plan customers get self-serve onboarding + access to recorded versions of the same sessions.

Can I get a custom AI agent persona built for my brand?

Yes — that falls under custom workflow scope. Pricing depends on training data quality. Most brand-voice clones land in the $750-$1,500 range and ship within 5 days of approval.

What categories of workflow templates are in the marketplace?

Comment-to-DM funnels, AI qualification flows, lead scoring workflows, no-show recovery, payment-plan reminders, post-purchase onboarding, churn-prevention check-ins, refund workflows, voicemail drop campaigns, multi-channel nurture sequences, and reporting dashboards. We add 5-15 new marketplace assets per quarter based on what is winning across the customer base.

Can I submit my own workflow to the marketplace?

Yes. If your agency has built a workflow that converts well, we will review it and (if accepted) feature it in the public marketplace with attribution to your agency. Featured workflows often drive inbound clients to the agency that submitted them. Submissions are reviewed by our solutions team for quality + safety.

How do template imports handle existing data — will they overwrite anything?

No. Marketplace templates install in a sandboxed scope by default — they create new tags, pipelines, and workflows but do not modify existing data. You preview the install (we show every change) before committing. You can roll back any template install with one click within 30 days.

What does a typical white-glove onboarding sprint look like week-by-week?

Week 1, day 1-3: kickoff call, integrations connected (IG, FB, WhatsApp, Twilio, Stripe, Calendly), basic team setup. Week 1, day 4-5: marketplace templates installed + customised, AI agent trained on your brand voice. Week 2, day 1-3: workflows live in shadow mode, parallel-run vs your existing tool. Week 2, day 4-5: cutover, signoff, handoff to ongoing CSM relationship.

Can I migrate from ManyChat to Inflowave during onboarding?

Yes — ManyChat migration is one of the most common onboarding patterns. The CSM-led migration imports your flows, contacts, tags, and comment-trigger keywords automatically via our ManyChat migration assistant. Most ManyChat-to-Inflowave migrations complete in 1-3 days during the onboarding sprint.

Do custom workflows work across all channels (IG, FB, WhatsApp, SMS, voice, email)?

Yes. Custom workflows can be triggered by any channel event (IG DM, FB Messenger, WhatsApp message, Twilio SMS / voice call / voicemail, email reply) and can fire actions on any channel. Cross-channel workflows are one of the most common custom build requests.

How do you guarantee a custom workflow build will hit my goals?

Every custom workflow ships with a written success-criteria document signed before build kicks off. If the workflow underperforms vs the criteria within the first 30 days post-launch, we tune it for free. If it still underperforms after 60 days, we refund the build fee. We have rarely had to refund — most builds hit goals on first deploy.

Can I see a marketplace template before I install it?

Yes — every marketplace asset has a preview view that shows the full workflow logic, expected metrics (based on aggregate Swarm data), and example trigger / action sequences. You can preview without installing; you only commit when you click Install.

Is there a marketplace for AI agent personas specifically?

Yes — under Marketplace → AI Personas. We currently ship ~25 brand-voice templates: high-empathy coach, sales-aggressive closer, professional consultant, casual creator, founder-mode direct, customer-support warm, and several niche-specific variants (fitness, e-comm, real estate, B2B SaaS). Each persona ships with example prompts + tone calibration knobs.

How long does the white-glove sprint take if my team is small (1-2 people)?

Smaller teams often finish faster — 7-10 days vs the standard 14. The sprint scales to your team size. Larger agencies (10+ team members) sometimes extend the sprint to 3 weeks to do role-specific RBAC training + multi-account VA onboarding.

Do marketplace updates auto-apply to my installed templates?

No — auto-applying breaks customisations. When we update a marketplace asset, we notify everyone who installed it and offer a side-by-side diff view. You can accept, partial-merge, or skip the update. Most agencies accept critical-fix updates and skip cosmetic ones.

Are the marketplace templates locale-aware (e.g. Spanish-speaking clients)?

Yes. Templates ship in 14 languages. When you install a template, you pick the locale + the AI auto-translates dynamic content. We have native-speaker review of all 14 locales before publishing.

What happens to my custom workflow if Inflowave releases a new feature that overlaps?

We migrate your custom workflow to the new feature for free + retire the custom build. The migration is invisible to your team — same behaviour, now powered by the official feature. This has happened a handful of times (e.g. when we launched the native voicemail-drop feature, it replaced earlier custom builds).
