How to write a business proposal in 5 steps

A proposal is a sales document, not a specification. Its job is to make saying yes the obvious next move.

    Open with their problem, not your company

    The first thing a client reads should be their own situation described back to them accurately. A proposal that opens with your founding story tells them you were not listening on the call.

  2. 2

    State the outcome before the method

    Say what will be different when the work is done. Clients buy the result; the methodology only matters as evidence that you can reach it.

    Price deliverables, not hours

    Break the work into named deliverables with a price each. It moves the negotiation from "can you lower the total" to "which of these do we need", which is a far better conversation to be in.

    Give a timeline with real dates

    Phases with dates, and what you need from them at each one. Most projects slip because the client did not know they were the blocker.

  5. 5

    Close with terms and one clear next step

    Payment schedule, revision limits, what counts as out of scope, and an expiry date on the pricing. Then one unambiguous action: sign, reply, or book the kickoff.
